Privacy policy
This page explains what personal data we collect when you request a cleaning on azursofaclean.fr or get in touch with us, why we need it, where it goes, how long we keep it and how you can exercise your rights under the General Data Protection Regulation (GDPR) and French data protection law.
Who is responsible for your data (the data controller)
AZURSOFACLEAN SARL, SIREN 100 954 429, VAT number FR05100954429, represented by its managing director, Vitalii Agyeyev. For any question about your data, email azur.sofaclean@gmail.com. Our registered office address is given in the legal notice.
The information you give us
The request form asks for:
- the furniture or surfaces to be cleaned and, if you wish, a short description (“Anything else?”);
- the town and address for the visit and, if you wish, the floor and the door code;
- for a “Villas & Yachts” request: the type of property (villa, yacht, flat), its size or length, how often you need us, and the town or port;
- the day and time slot you would like;
- your name and phone number, whether that number is on WhatsApp and, if you wish, your email address;
- confirmation that you have read this policy and, separately and only if you tick the box, your agreement to receive our offers.
We also record the date of the request and, for the “offers” box, a record of your choice (date and version of the text shown), so that we can prove it.
Without the services, town, address, day and time slot, your name and phone number we cannot arrange the visit; the other fields are optional. The form does not send any photos you add to it: to show us a stain, please send the photo by WhatsApp. In the description, please describe only what needs cleaning and leave out any information about your own or your family's health.
If you phone us, message us on WhatsApp or email us, we also receive your number or email address and what you write. During the visit, our team may take photos of the furniture at your home before and after cleaning; they are saved in the app, encrypted.
How your request reaches us
The form sends your request directly; if that fails, it offers you WhatsApp instead.
- Sent directly (the normal route). The details from the form travel over an encrypted connection (HTTPS) to AZURSOFACLEAN's request management app, which runs on a server rented from Hetzner Online GmbH (Germany) by our IT contractor. The door code is stored there in encrypted form; on the day of the visit it appears in the morning message that the app sends to our managing director on Telegram, and that message is deleted the same evening at 9 pm.
- WhatsApp (if sending fails). The form offers to open WhatsApp with a ready-written message: the services chosen and the description you typed, town and address, day and time slot, and the “from” price; for a “Villas & Yachts” request, the type of property, its size or length, how often, and the town or port. Your name, phone number, door code and email address are not included. Nothing reaches AZURSOFACLEAN until you tap “Send” in WhatsApp yourself; however, the link containing that message passes through WhatsApp (Meta) as soon as you open it.
Why we use your data and on what legal basis
- To arrange the visit, confirm the time and carry out the cleaning: this is needed to respond to your request and perform the contract (Article 6(1)(b) GDPR). The tick box on the form confirms that you have been informed; it is not the legal basis for this processing.
- To send you our offers on WhatsApp: only with your consent (Article 6(1)(a)), which you can withdraw at any time, free of charge, with a simple message.
- To keep the website secure, limit abusive use of the form and its calendar, and keep proof of the condition of the furniture before and after the visit: our legitimate interest (Article 6(1)(f)).
- To meet our legal obligations, for example accounting and tax rules (Article 6(1)(c)).
We do not make any fully automated decisions that have legal effects on you.
Who receives your data
Your data is used by AZURSOFACLEAN and the people who carry out the work. We never sell or rent it. Some technical providers have access to it on our behalf, and only as far as they need to:
- our IT provider, who builds and maintains the request management app (a processor under Article 28 GDPR);
- Hetzner Online GmbH (Germany): hosting for the website, the app, its database and the photos;
- Backblaze, Inc.: storage of backup copies (database and photos), encrypted before upload, in a data centre in the European Union (Amsterdam); as Backblaze is a US company, this is covered by the EU–US Data Privacy Framework;
- OpenRouter, Inc. (United States) and the AI model providers it routes requests to: when our managing director dictates or types a message in the app (for example to record or change a request), that text or voice recording, which may contain your name or a summary of your request, is transcribed and read automatically by an AI model. The website form sends nothing to that model, and the website does not pass it the description you typed or your door code. The app uses only services that neither keep the data nor use it for training, and the transfer is covered by the European Commission's standard contractual clauses.
Apart from these two technical providers (Backblaze and OpenRouter), we do not ourselves transfer your data outside the European Union. To get a copy of the safeguards mentioned above, write to us.
Some of the services that you or we use to communicate also process your messages, as separate controllers under their own terms and possibly outside the European Union: WhatsApp (part of Meta) for WhatsApp messages, Google (Gmail) for emails, and Telegram, which our managing director and our team use to open the app: whatever appears in that chat (such as the day's appointment or the door code) and any photos sent that way are also stored by Telegram.
How long we keep your data
- Enquiries that do not lead to a service: 3 years from your last contact with us, in line with the recommendations of the CNIL, the French data protection authority.
- Customers: for as long as we work together, then 3 years after the last service. If the law requires us to keep certain data longer (for example accounting records), we keep it for the legal period, apart from current data.
- Door code: stored in encrypted form and deleted with your customer record, or sooner if you ask; the morning message that shows it is deleted the same day at 9 pm.
- Before and after photos: kept encrypted together with your customer record, so for the same period (we have not set a shorter one), and deleted if you ask.
- Consent to receive our offers: until you withdraw it, and no longer than 3 years after your last contact. If you object to our offers, we keep only what we need to respect that, for 3 years.
- IP address used to limit abusive use of the form and its calendar: held in the app's memory for no more than 24 hours after your last request; it is not saved in the database or written to the app's logs.
Cookies
This website sets no cookies or other trackers on your device and uses no third-party advertising or analytics tools; even the fonts are served from our own server.
Your rights
You can ask at any time to see your data, correct it or have it erased, restrict how we use it or receive a copy to take elsewhere, and withdraw your consent to our offers (withdrawal does not affect what was done before). You can also tell us what should happen to your data after your death. Email us at azur.sofaclean@gmail.com and we will reply within one month; if your request is complex, we may need up to two more months and will let you know. We may ask you to confirm your identity, for example by writing to us from the phone number you used for the request.
Right to object. You can object at any time, on grounds relating to your situation, to the use of your data based on our legitimate interest, and, without giving any reason, to any marketing: just tell us by email or WhatsApp.
If you think your rights have not been respected, you can complain to the CNIL online at www.cnil.fr/fr/adresser-une-plainte or by post to CNIL, Service des plaintes, 3 place de Fontenoy, 75007 Paris, France.
